The Opportunity

  • This is a trusted and highly visible role at the centre of the business. Reporting to the Head of Corporate Affairs, you will provide executive support to the Chief Operating Officer while coordinating a portfolio of national events that bring our people, clients and industry partners together.
  • Balancing executive support with end-to-end event delivery, you will play a critical role in ensuring our leaders are well supported and our events are delivered professionally, efficiently and in line with the Buildcorp brand.
  • You will be a proactive, organised and detail-driven professional who anticipates needs before they arise, thrives in a fast-paced environment and enjoys bringing people and events together.

Job Description

Key Responsibilities

Executive Support

  • Provide end-to-end executive diary management, including meeting coordination, room bookings, catering, briefing packs and technology requirements.
  • Manage domestic and international travel arrangements, including itineraries, accommodation, transport and related logistics.
  • Monitor executive inboxes and email correspondence with professionalism, discretion and confidentiality.
  • Establish and maintain efficient processes, meeting rhythms and administrative systems for the Executive Office.
  • Coordinate recurring leadership and operational meeting cadences.
  • Manage expense reconciliation, credit cards, invoicing and general administration.
  • Identify opportunities to improve ways of working and support continuous operational improvement.

National Events Coordination

  • Coordinate the end-to-end delivery of Buildcorp's national events program across NSW, VIC and QLD.
  • Manage event logistics, including venue sourcing, supplier coordination, invitations, registrations, RSVPs and attendee communications.
  • Prepare event run sheets, briefing materials and stakeholder packs.
  • Coordinate executive involvement and event-day requirements.
  • Track event budgets, invoices and expenditure.
  • Partner with internal stakeholders and external suppliers to ensure events are delivered on time, on budget and on brand.
  • Support delivery of client, industry, leadership, employee and Foundation events across the business.

About You

You are an experienced Executive Assistant, Team Assistant or Events Coordinator who brings:

  • Proven experience supporting senior executives or business leaders.
  • Demonstrated experience coordinating corporate events or stakeholder functions.
  • Exceptional organisational skills and attention to detail.
  • Strong judgement and discretion when handling sensitive information.
  • Confidence engaging with senior stakeholders internally and externally.
  • A proactive mindset and ability to anticipate needs.
  • Outstanding communication and relationship-building skills.
  • The ability to manage multiple priorities and competing deadlines.
