The Opportunity
This is a trusted and highly visible role at the centre of the business. Reporting to the Head of Corporate Affairs, you will provide executive support to the Chief Operating Officer while coordinating a portfolio of national events that bring our people, clients and industry partners together.
Balancing executive support with end-to-end event delivery, you will play a critical role in ensuring our leaders are well supported and our events are delivered professionally, efficiently and in line with the Buildcorp brand.

Job Description
Key Responsibilities
Executive Support
Provide end-to-end executive diary management, including meeting coordination, room bookings, catering, briefing packs and technology requirements.
Manage domestic and international travel arrangements, including itineraries, accommodation, transport and related logistics.
Monitor executive inboxes and email correspondence with professionalism, discretion and confidentiality.
Establish and maintain efficient processes, meeting rhythms and administrative systems for the Executive Office.
Coordinate recurring leadership and operational meeting cadences.
Manage expense reconciliation, credit cards, invoicing and general administration.
Identify opportunities to improve ways of working and support continuous operational improvement.
National Events Coordination
Coordinate the end-to-end delivery of Buildcorp's national events program across NSW, VIC and QLD.
Manage event logistics, including venue sourcing, supplier coordination, invitations, registrations, RSVPs and attendee communications.
Prepare event run sheets, briefing materials and stakeholder packs.
Coordinate executive involvement and event-day requirements.
Track event budgets, invoices and expenditure.
Partner with internal stakeholders and external suppliers to ensure events are delivered on time, on budget and on brand.
Support delivery of client, industry, leadership, employee and Foundation events across the business.

About You
You are an experienced Executive Assistant, Team Assistant or Events Coordinator who brings:
Proven experience supporting senior executives or business leaders.
Demonstrated experience coordinating corporate events or stakeholder functions.
Exceptional organisational skills and attention to detail.
Strong judgement and discretion when handling sensitive information.
Confidence engaging with senior stakeholders internally and externally.
A proactive mindset and ability to anticipate needs.
Outstanding communication and relationship-building skills.
The ability to manage multiple priorities and competing deadlines.
